Hall Hire Terms & Conditions

 

When hiring the Fryerns Community Centre facilities, we ask that you adhere to the below terms and conditions. Failure to comply with the below terms and conditions could result in your hire being cancelled or your deposit being retained. A copy of the terms & conditions can be found on the back of your booking form. 

1. The person signing the booking form shall be deemed the hirer and shall be personally responsible for the payment of all fees and for maintaining the conditions of hire.

2. The hire fee shall be that which is applicable on the day of hire. The hirer shall pay the total hire fee at least 4 weeks prior to the date of hire.

3. The hirer is required to pay a booking fee of £100 at the time of booking. Basildon Community Association (Fryerns Community Centre) reserves the right to retain all or party of the deposit if the terms and conditions are not adhered to. Your deposit is returnable the following week after your hire, once the premises have been inspected for any breakages/damages.

4. The hirer must give at least 21 days’ notice of intention to cancel. If less than 21 days’, the full fees are still payable unless the hall can be re-booked.

5. Music is not permitted after 11:30pm. The hirer must ensure the premises are clean and vacated by the end time of their hire, normally 12am.

6. The hirer agrees during the hire period:

  •  To be responsible for the good conduct of persons using the premises
  • To abide by any statutory regulations relating to the sale of alcohol, public entertainment and fire safety regulations
  • To keep all emergency exists clear and so arrange furniture in a manner not to cause obstructions
  • Not to set up furniture in corridors
  • To leave the kitchen and all its appliances in a clean and tidy state

7. The hirer shall be responsible for ensuring that caterer’s and others supplying refreshments remove all equipment from the premises by 12am on the day of hire

8. The hirer agrees to be responsible for the removal of ALL rubbish from the premises, and ensuring that the hall is left in the condition it was found.

9. The hirer will make good any willful or avoidable damage caused to the property which can be attributed with his/her use of the premises. Replace any items belonging to the Association through loss, damage or theft during the period of hire.

10. Under no circumstances are decorations to be fixed using nails, tacks, pins, screws, drawing pins or tape of any kind. Nothing is to be driven into or stuck on to the walls, ceiling, furniture or fittings. The wearing of footwear likely to cause damage is not permitted.

11. The hirer must allow entry to the premises at all time by officers of the BCA or their agents, police officers or any persons having statutory powers to enter the premises on demand

12. Although the BCA will endeavour to provide the accommodation and facilities as specified in the booking, the BCA shall not be liable for any loss or expense incurred by the hirer by failing to do so.

13. The BCA reserves the right to refuse bookings at any time without reason

14. The BCA shall not be responsible for any property lost, damaged, stolen or left on the premises

15. The BCA shall not be liable for any injury (including injury resulting in death) which shall or may occur to be sustained by the hirer, his/her agents or by persons using the premises during the period of hire

16. The hirer may provide alcohol free of charge for the persons using the premises, but the sale of alcohol is not permitted. The supplying of alcohol under the age of 18 is strictly prohibited. Anyone caught doing so will be removed from the premises

17. The hirer is responsible for making sure that the suppliers of any electrical equipment has had a PATs test within the last 12 months. The premises have a residual current device which will trip if the equipment has any faults

18. Please remember your rubbish bags and take your rubbish home with you, or if there is space in the outside bins you may put in there

19. If under 25, please supply ID otherwise you will not be served at the bar

20. The use of drugs will not be tolerated or permitted

21. Important if using the bar – if due to failed attendance of function means the bar makes a loss, then the bar staff wages will be taken from your deposit (usually £30)

FAILURE TO ADHERE TO THESE TERMS AND CONDITIONS WILL RESULT IN THE LOSS OF PARTY OF ALL OF THE BOOKING FEE AND POSSIBLE BAN ON FUTURE BOOKINGS
